How to define how long tasks are synced in Pleexy - from 1 to 180 days

At Pleexy, we strive to keep your task management smooth and efficient. To help prevent overloading your task manager and avoid hitting API rate limits, Pleexy offers a special setting to define how old your tasks can be before they are no longer synced.

This feature allows you to manage the number of tasks Pleexy syncs by setting a threshold for task age. If tasks are older than the number of days you specify, Pleexy will stop recognizing them and will delete them from your task manager.

Why is this setting important?

By controlling the maximum age of tasks Pleexy syncs, you avoid potential delays and errors caused by syncing an excessive number of outdated tasks. This setting helps:

  • Prevent hitting API rate limits: Most task managers have limits on how many requests they can process at a time. Keeping your task sync within a manageable range helps ensure that you don’t hit these limits.

  • Optimize your task management: By removing outdated tasks, your task list stays current and relevant, helping you focus on what matters most.

  • Maximize efficiency: Limiting task sync helps Pleexy run faster and more efficiently, giving you a seamless experience.

How does it work?

You can define the number of days for which Pleexy should recognize tasks. This range can be set anywhere between 1 to 180 days (about 6 months). Once tasks exceed this age limit, Pleexy will automatically stop syncing them, and they will be removed from your connected task manager.

Example

  • If you set the sync threshold to 90 days, Pleexy will only sync tasks created or modified in the past 90 days. Tasks older than 90 days will be removed from your task manager and won't be synced anymore.

How to configure the sync age setting

  1. Open the Pleexy dashboard and navigate to the settings for your connected task manager.

  2. Look for the Task Sync Age setting.

  3. Choose the number of days you want to keep your tasks synced. You can set it to any value between 1 and 180 days.

  4. Save your changes. Pleexy will now sync tasks only within the specified time range.

Important Notes

  • Tasks older than your defined limit will no longer be synced by Pleexy and will be deleted from your task manager.

  • You can adjust this setting at any time to increase or decrease the sync window as your workflow evolves.

How to keep older tasks in your task manager?

If you want to keep certain tasks in your task manager permanently, like in a "someday" project or for future reference, you can easily duplicate tasks created by Pleexy.

The duplicated tasks won’t be connected to Pleexy anymore, which means they’ll stay in your task manager as long as you want. This works great if you follow the GTD method or have other reasons to keep tasks indefinitely without Pleexy making updates or changes.
