How Pleexy syncs your tasks
When you connect two platforms with Pleexy, your tasks need to travel between them. The speed of this process depends on how each platform allows us to check for changes - either through instant notifications (webhooks) or by regularly checking for updates (cache sync).
Two types of sync methods
Webhooks (Instant sync)
Think of webhooks like getting a text message the moment something happens. When you complete a task, the platform immediately tells Pleexy "Hey, something changed!" This means updates happen within seconds.
Cache sync (Regular check-ins)
Cache sync is like checking your mailbox at regular intervals. Pleexy visits each platform every few minutes to see if anything has changed. It's still fast, but not instant.
Sync times by platform
Platform | Sync Method | Sync Time |
Todoist | Webhooks | Instant (within seconds) |
Trello | Webhooks | Instant (within seconds) |
Microsoft To Do | Cache sync | 1.0 minute |
ClickUp | Partial webhooks | 5.0 minutes |
Notion | Partial webhooks | 0.5 minutes |
Google Tasks | Cache sync | 1.0 minute |
Asana | Cache sync | 0.5 minutes |
Outlook | Cache sync | 0.5 minutes |
Basecamp | Cache sync | 0.5 minutes |
JIRA | Cache sync | 0.5 minutes |
Zendesk | Cache sync | 0.5 minutes |
Monday | Cache sync | 0.5 minutes |
Evernote | Cache sync | 2.0 minutes |
OneNote | Cache sync | 2.5 minutes |
What this means for you
Fastest sync: Todoist and Trello connections update almost immediately
Quick sync: Most platforms update within 30 seconds to 1 minute
Slightly longer: OneNote and Evernote take a bit more time due to their complex data structure
Why different times?
Each platform has its own rules about how third-party apps like Pleexy can access information. Some platforms offer instant notifications, while others require us to check periodically. We use the fastest method available for each platform.
