How to connect Wunderlist with Asana

Disclaimer

Wunderlist was a popular task management application that allowed users to create and organize to-do lists. However, Microsoft acquired the app and gradually retired it in favor of their own task management app called Microsoft To Do

Microsoft encouraged Wunderlist users to transition to Microsoft To Do, and they provided tools to assist with the migration of tasks and lists from Wunderlist to the new app.

Pleexy creates tasks in your Wunderlist from tasks in Asana. Pleexy can synchronize tasks and automatically mark Asana tasks as complete when you complete tasks in your Wunderlist.

After you connect Asana as a source service, customize Pleexy’s settings to integrate Asana and Wunderlist exactly the way you want. First, navigate to the page where you can change settings:

  1. From the Pleexy dashboard, inside the Asana card, click Details.

  2. Click Edit settings.

On this page, you can customize the connection's name. You can also adjust the settings for Source, Destination, Tasks, and Actions. This article describes your options for each.

Source settings

Source settings let you configure how Pleexy searches for tasks in Asana. Use the drop-down menus to select which Asana organizations, teams, projects, and sections Pleexy will search for tasks. You can also specify whether Pleexy will take Asana tasks assigned only to you or tasks assigned to anyone.

Pleexy can also ignore Asana tasks that you consider out-of-date. For example, if you enter ‘60’ in the "and ignore not changed for ___ days" field, Pleexy will ignore Asana tasks that haven’t been updated in the last 60 days. The default is 45 days.

Pleexy combines your settings for these six filters. For example, if you choose the Alpha Company organization, Development team, December 2018 project, and Backend section, plus tasks assigned only to you that have been updated within the last 30 days, Pleexy will search for tasks that meet all six requirements:

In the organization Alpha Company

+ Located in team Development

+ Located in project December 2018

+ Located in section Backend

+ Assigned only to you

+ Updated within the last 30 days

Destination settings

Destination settings define how Pleexy creates tasks in your Wunderlist. You have two destination options:

  • Put all tasks in one project: Create tasks from all Asana projects in the same Wunderlist project. Click the drop-down menu to select the Wunderlist project to use.
    Note: If you want Pleexy to create tasks in a new Wunderlist project, log in to your Wunderlist and create the new project there. Back in your Pleexy settings, in the project drop-down menu, click Refresh to update the list of projects.

  • Use an individual project for each board: Create tasks from each Asana project in a different Wunderlist project. Click the drop-down menu to select the root Wunderlist project to use. Pleexy will create individual projects within the root project you select for the tasks from each Asana project.
    Note: If a project with the same name already exists in the root project you select, Pleexy will use it instead of creating a new project. This way, Pleexy can combine tasks from different source services in the same project. For example, Pleexy will create tasks from a “Development” notebook in Evernote and a “Development” project in Asana in a single root project.

Task settings 

In the Task Settings, you can specify how Pleexy creates, names, and synchronizes tasks and task attributes.

Under Task title template, use macros to customize how Pleexy names your tasks. For Asana integrations, eight elements are available for task names: {title}, {project}, {workspace}, {team}, {section}, {assignee}, {due_date}, and {project_type}.

As you change your task title template, Pleexy shows how your changes will look in a live example under the template field. You can combine the macro elements however you want, as long as you get the formatting correct. Here are some ideas:

  • {title} from {project} in the {workspace} workspace

  • {due_date} - {project}: {title}

Note: If you manually edit a task title in Wunderlist, Pleexy won’t update or change your edited title.

Under Synchronize due date, you have four options for how Pleexy handles your changes to task due dates:

  1. From Asana to Wunderlist only: when due date changes in Asana, change it in Wunderlist

  2. Both in Asana and Wunderlist: when due date changes in one place, change it in the other

  3. From Wunderlist to Asana only: when due date changes in Wunderlist, change it in Asana

  4. Do not sync: do not synchronize due dates between Wunderlist and Asana

You can also toggle-on Add task's description to the task in Wunderlist if you want Pleexy to show Asana task descriptions in task comments in Wunderlist.

Finally, you can customize which Asana lists Pleexy should consider completed:

  • Do not track tasks completeness: Pleexy will not assume that any tasks are completed

  • Task is marked as completed: Pleexy will assume that only tasks marked are completed are actually completed

  • Last on the board: Pleexy will assume that tasks in the last list of a board are completed

Action settings

Action settings let you control what Pleexy will do when you change, complete, or delete tasks in Asana or Wunderlist—on both sides of the integration!

First, tell Pleexy what should happen in Wunderlist when you delete a task in Asana . Click the drop-down to select one option:

  • Delete corresponding task: Pleexy will delete the corresponding task in Wunderlist

  • Do not touch task: Pleexy will leave the corresponding task in Wunderlist

Second, tell Pleexy what should happen in Wunderlist when you complete a task in Asana . Click the drop-down to select one option:

  • Complete task: Pleexy will complete the corresponding task in Wunderlist

  • Do not touch task: Pleexy will leave the corresponding task in Wunderlist

Note: If you selected Do not track tasks completeness in your Destination settings, you will not have this option.

Third, specify what should happen in Asana when you complete a task in Wunderlist. Click the drop-down menu to select one option:

  • Complete card: Pleexy will complete the corresponding task in Asana

  • Do not touch card: Pleexy will leave the corresponding task in Asana

Note: If you selected Do not track tasks completeness in your Destination settings, you will not have this option.

Those are your options for integrating Asana with your Wunderlist! Don’t forget to scroll down and click Save changes when you’re finished customizing.
