Pleexy creates tasks in your Todoist from notes and to-do items in your Evernote and Evernote Business notes. Pleexy can group all the to-dos from one note under parent tasks, synchronize due dates, automatically complete to-dos when you complete tasks in your Todoist, and more! Evernote Tasks are relatively new and their team hasn't made them available through their API yet. What we've done, and encourage our users to do, is to request this to be available in their public API through your Evernote account.

On your dashboard, select the Evernote connection card and connect your account. You can then customize Pleexyā€™s settings to integrate Evernote and Todoist exactly the way you want.

On this page, you can customize the connection's name. You can also adjust the settings for Source, Tasks, Destination, and Sync options. Letā€™s walk through your options for each.

1. Source settings

Source settings let you configure how Pleexy searches for notes and to-dos in Evernote which will be converted into tasks in Todoist.

You can choose to synchronize (1) to-dos from your notes or (2) your notes only.

Pleexy searches your Evernote for to-dos or notes through either of the two methods: Pleexy or Evernote's advanced search.

If you choose the Pleexy method, you can filter your to-dos or notes by tag, notebook, and last update.

  • Tags: Select the tags Pleexy should search for in Evernote. You can select all tags or choose specific ones.

  • Notebooks: Select which Evernote notebooks Pleexy should search for to-dos or notes. You can select all notebooks or choose specific ones.

  • Last update: You can ignore tasks you consider out-of-date. For example, if you enter ā€˜60ā€™ in the "and ignore tasks older than ___ days" field, Pleexy will ignore Evernote notes that havenā€™t been updated in the last 60 days.

Pleexy combines your settings for these three filters. For example, if you enter the tags chore and favor, select the notebooks Family and Neighbors, and enter 30 days, Pleexy will search for notes that meet all three requirements:

  • Tagged with chore or favor

  • Located in notebook Family or Neighbors

  • Updated less than 30 days ago

Selecting notes by Evernote's advanced search is for expert Evernote users who use Evernoteā€™s advanced search syntax. In the Search bar, just enter the advanced search syntax you have set up in Evernote to tailor which notes Pleexy creates as tasks in your Todoist.

2. Task template

In the Task template, you can specify how Pleexy creates, names, and synchronizes tasks and task attributes.

Customizing the task title template

Under Task title, customize how Pleexy names your tasks in Todoist by adding text and selecting any of the given elements. For Evernote integrations, three elements are available for task names: {notebook}, {note}, and {todo}. If you chose to sync notes in your Source settings, you can only use {notebook} or {note} in the template.

As you change your task title template, Pleexy shows how your tasks will look in a live example above the template field. You can combine the macro elements however you want, as long as you get the formatting correct. Here are some ideas:

  • {todo} from {notebook}: {note}

  • {notebook} - {note}: {todo}

Note: If you manually edit a task title in Todoist, Pleexy wonā€™t change the title in Evernote.

Synchronizing due dates and labels

You can also add a due date and label/s to your tasks in Todoist. If you toggle on Due date, Pleexy will add the reminder from your Evernote note as a due date to the task in Todoist upon initial sync.

If you toggle on Labels, Pleexy will add your tags from Evernote as labels to the task in Todoist.

If you chose to sync notes in your Source settings, you can further choose how labels will be synchronized between Todoist and Evernote. When a label is updated in one place, it will be automatically updated on the other end, depending on the options you've enabled.

If you'd rather not copy due dates and labels from Evernote to Todoist, simply disable these options.

Creating sub-tasks from to-dos

If you chose to synchronize to-dos in your Source settings, you can group your tasks in Todoist. If enabled, Pleexy will turn notes into parent tasks and to-dos into sub-tasks.

You can also customize how parent tasks will be named in Todoist. Under Parent task title, select any of the given elements, {notebook} and {note}, to create a macro for naming parent tasks. The sub-tasks in Todoist will follow the Task title template you've set up in the first part of the Task template settings.

In this case, Pleexy will list all todos for each notebook and note under a single parent task. For example:

{notebook}: {note}

To-do

To-do

To-do

Lastly, you can choose to synchronize due dates and labels from your to-dos in Evernote to your sub-tasks in Todoist.

3. Destination settings

Destination settings define how Pleexy creates tasks in your Todoist.

You have two destination options:

  • Create all tasks in one project: Create tasks from all Evernote notes in the same Todoist project. Click the pencil icon to select the Todoist project to use.
    ā€‹Note: If you want Pleexy to create tasks in a new Todoist project, log in to your Todoist and create the new project there. Back in your Pleexy settings, click Refresh to update the list of projects.

  • Create tasks in multiple projects: Create tasks from each Evernote notebook in separate Todoist projects. Select the root Todoist project to use. Pleexy will create individual projects within the root project you select for the tasks from each Evernote notebook.
    ā€‹Note: If a project with the same name already exists in the root project you select, Pleexy will use it instead of creating a new project. This way, Pleexy can combine tasks from different source services in the same project. For example, Pleexy will create tasks from a ā€œDevelopmentā€ notebook in Evernote and a ā€œDevelopmentā€ board in Trello in a single root project in Todoist.

For an added layer of organization, you can choose to divide your Todoist projects into sections. To do so, enable this option and customize how sections will be named.

4. Sync options

Sync options let you control what Pleexy will do when you complete or delete tasks in Evernote or Todoistā€”both sides of the integration!

First, tell Pleexy what should happen in Todoist when you complete or delete a to-do in Evernote.

  • Complete task: If enabled, Pleexy will mark the task as complete in Todoist when the to-do is marked complete in Evernote

  • Delete task: If enabled, Pleexy will delete the task in Todoist when it's deleted in Evernote

Next, tell Pleexy what should happen in Evernote when you complete a task in Todoist.

  • Complete to-do: If enabled, Pleexy will mark the to-do as complete in Evernote when the task is completed in Todoist.

Now you know all about your options for integrating Evernote with Todoist! Donā€™t forget to click Save when youā€™re finished customizing.
