Pleexy creates tasks in your Microsoft To Do from pulses in Monday. Pleexy can synchronize tasks and automatically mark Monday pulses as complete when you complete tasks in your To Do.
After you connect Monday as a source service, customize Pleexy’s settings to integrate Monday and To Do exactly the way you want. First, navigate to the page where you can change settings:
From the Pleexy dashboard, inside the Monday card, click Details.
Click Edit settings.
On this page, you can customize the connection's name. You can also adjust the settings for Source, Destination, Tasks, and Actions. This article describes your options for each.
Source settings
Source settings let you configure how Pleexy searches for pulses in Monday. Use the drop-down menus to select which Monday boards and groups Pleexy will search for tasks. You can also specify whether Pleexy will take Monday pulses assigned only to you or pulses assigned to anyone.
Pleexy can also ignore Monday pulses that you consider out-of-date. For example, if you enter ‘60’ in the "and ignore not changed for ___ days" field, Pleexy will ignore Monday pulses that haven’t been updated in the last 60 days. The default is 45 days.
Pleexy combines your settings for these filters. For example, if you choose the Alpha Company board and Development group, plus pulses assigned only to you that have been updated within the last 30 days, Pleexy will search for tasks that meet all four requirements:
In the organization Alpha Company
+ Located in group Development
+ Assigned only to you
+ Updated within the last 30 days
Destination settings
Destination settings define how Pleexy creates tasks in your To Do. You have two destination options:
Put all tasks in one project: Create tasks from all Monday boards in the same To Do project. Click the drop-down menu to select the To Do project to use.Note: If you want Pleexy to create tasks in a new To Do project, log in to your To Do and create the new project there. Back in your Pleexy settings, in the project drop-down menu, click Refresh to update the list of projects.
Use an individual project for each board: Create tasks from each Monday board in a different To Do project. Click the drop-down menu to select the root To Do project to use. Pleexy will create individual projects within the root project you select for the tasks from each Monday project.Note: If a project with the same name already exists in the root project you select, Pleexy will use it instead of creating a new project. This way, Pleexy can combine tasks from different source services in the same project. For example, Pleexy will create tasks from a “Development” notebook in Evernote and a “Development” board in Monday in a single root project.
Task settings
In the Task Settings, you can specify how Pleexy creates, names, and synchronizes tasks and task attributes.
Under Pulse title macros, use macros to customize how Pleexy names your tasks. For Monday integrations, six elements are available for titles: {name}, {group}, {board}, {assignee}, {status}, and {due_date}.
As you change your pulse title macro, Pleexy shows how your changes will look in a live example under the macro field. You can combine the macro elements however you want, as long as you get the formatting correct. Here are some ideas:
{name} from {board} in the {group} group
{due_date} - {name}: {assignee}
Note: If you manually edit a task title in To Do, Pleexy won’t update or change your edited title.
Under Set task's due date, you have four options for how Pleexy handles your changes to task due dates:
From Monday to To Do only: when due date changes in Monday, change it in To Do
Both in Monday and To Do: when due date changes in one place, change it in the other
From To Do to Monday only: when due date changes in To Do, change it in Monday
Do not sync: do not synchronize due dates between To Do and Monday
If you choose any of options 1-3, Pleexy will prompt you to set the due date field from the Monday pulse. If you choose any of options 1-3, Pleexy will prompt you to set the due date field from the Monday pulse. Pleexy will list the fields from all selected Monday boards. If you don't see a field, it means that one or more of the selected boards do not include it. In this case, you can return to Source settings and select only the boards that include the desired field. Pleexy will update the list of available fields and you will be able to select your field.
Under Synchronize labels for pulses, you have four options for how Pleexy handles your changes to pulse labels:
From Monday to To Do only: when label changes in Monday, change it in To Do
Both in Monday and To Do: when label changes in one place, change it in the other
From To Do to Monday only: when label changes in To Do, change it in Monday
Do not sync: do not synchronize labels between To Do and Monday
If you choose any of options 1-3, Pleexy will prompt you to set the label field from the Monday pulse. If you choose any of options 1-3, Pleexy will prompt you to set the label field from the Monday pulse. Again here, Pleexy lists the fields from all selected Monday boards. If you don't see a field, it means that one or more of the selected boards do not include it. In this case, return to Source settings and select only the boards that include the desired field. Pleexy will update the list of available fields and you will be able to select your field.
You have a couple more options for your integration in Settings:
Toggle-on Add pulse's description to the task in To Do if you want Pleexy to show Monday pulse descriptions in task comments in To Do
Toggle-on Set task's Priority according to Priority of the pulse if you want to sync priority for your tasks and pulses
If you toggle-on either option, Pleexy will prompt you to set the label field from the Monday pulse. Pleexy lists the fields from all selected Monday boards. If you don't see a field, it means that one or more of the selected boards do not include it. In this case, return to Source settings and select only the boards that include the desired field. Pleexy will update the list of available fields and you will be able to select your field.
Finally, you can customize which Monday pulses Pleexy should consider completed:
Do not track pulses completeness: Pleexy will not assume that any tasks are completed
Task is marked as completed in specified status column: Pleexy will assume that only tasks marked as completed in the column you specify are actually completed
Pulse is in the last group in board: Pleexy will assume that pulses in the last group of a board are completed
Specify which group (per board) completed pulse should be moved to: Pleexy will assume that pulses in the specified groups are completed. This option is disabled if you selected "All boards" in the Source settings
Action settings
Action settings let you control what Pleexy will do when you change, complete, or delete pulses in Monday or tasks in To Do — on both sides of the integration!
First, tell Pleexy what should happen in To Do when you delete a pulse in Monday. Click the drop-down to select one option:
Delete corresponding task: Pleexy will delete the corresponding task in To Do
Do not touch task: Pleexy will leave the corresponding task in To Do
Second, tell Pleexy what should happen in To Do when you complete a task in Monday. Click the drop-down to select one option:
Complete task: Pleexy will complete the corresponding task in To Do
Do not touch task: Pleexy will leave the corresponding task in To Do
Note: If you selected Do not track pulses completeness in your Destination settings, you will not have this option.
Third, specify what should happen in Monday when you complete a task in To Do. Click the drop-down menu to select one option:
Complete corresponding pulse: Pleexy will complete the corresponding pulse in Monday
Do not touch pulse: Pleexy will leave the corresponding pulse in Monday
Note: If you selected Do not track pulses completeness in your Destination settings, you will not have this option.
