Pleexy creates tasks Google Tasks from cards and checklist items in Trello.
Pleexy can synchronize task details and automatically move Trello cards to the specified “complete” list when you complete tasks in Google Tasks.
On your dashboard, select the Trello connection card and connect your account. You can then customize Pleexy’s settings to integrate Trello and Google Tasks exactly the way you want.
1. Introduction
On this page, you can customize the connection's name.
You can also adjust the settings for Source, Task template, Destination, and Sync options. Let’s walk through your options for each.
2. Source of tasks
Source settings let you configure how Pleexy searches for cards in Trello. Cards that meet the criteria will be created in Google Tasks. Select which Trello boards and lists Pleexy will search for tasks. You can choose all of them or select specific ones.
You can also specify whether Pleexy will sync Trello cards assigned only to you or cards assigned to anyone.
To focus on your most recent tasks, you can choose to ignore tasks you consider out-of-date. For example, if you enter ‘60’ in the "and ignore tasks older than ___ days" field, Pleexy will ignore Trello cards that haven’t been updated in the last 60 days.
Pleexy combines your settings for these three filters. For example, if you choose the board Alpha Sprint, select the lists Queue and In Progress, and select tasks assigned only to you, Pleexy will search for cards that meet all three requirements:
From the board Alpha Sprint
Located in lists Queue and In Progress
Assigned only to you
Tracking Completeness of Trello Cards
Finally, you can customize how Pleexy tracks the completeness of your tasks. When a task is marked complete in Google Tasks, define what should happen in Trello. Click the pencil icon and select one option:
Do not track completeness of cards: Pleexy will not assume that any tasks are completed. If you complete a task in one place, it will not be completed on the other end.
Last on the board: Pleexy will assume that tasks in the last list of your Trello board/s are completed.
Custom list: Pleexy will store completed cards in the selected custom list.
3. Task Template
In the Task Template Settings, you can specify how Pleexy creates, names, and synchronizes tasks and task attributes like due dates, and descriptions.
Customizing the Task Title Template
Under Task title, customize how Pleexy names your tasks in Google Tasks by adding text and selecting any of the given elements. For Trello integrations, three elements are available for task names: {board}, {list}, and {card}.
As you change your task title template, Pleexy shows how your tasks will look in a live example above the template field. You can combine the elements however you want. Here are some ideas:
{card} from {list} in the {board} board
{board} - {list}: {card}
Note: If you manually edit a task title in Google Tasks, Pleexy won’t update or change your edited title in Trello.
Synchronizing Due Dates
Under Due Date, toggle on the option if you want to synchronize changes to your due dates between Google Tasks and Trello.
You have two more advanced options:
From Trello to Google Tasks: when the due date changes in Trello, change it in Google Tasks
From Google Tasks to Trello: when the due date changes in Google Tasks, change it in Trello
Synchronizing Description
Toggle on Details if you want Pleexy to show Trello card descriptions as details in Google Tasks.
Synchronizing Checklist Items
You can choose to create checklist items from Trello as sub tasks in Google Tasks. Enable this option and customize how the tasks will be named.
You can also add due dates from checklist items to your tasks in Google Tasks and control how changes are synced between Google Tasks and Trello.
4. Destination settings
Destination settings define how Pleexy creates tasks in your Google Tasks account.
You have two destination options:
Put all tasks in one Google Tasks list: Create tasks from all Trello boards in the same Google Tasks list. Click the pencil icon to select the which list to use. Note: If you want Pleexy to create tasks in a new list, log in to your Google Tasks account and create the new list there. Back in your Pleexy settings, click Refresh to update the list.
Create tasks in multiple lists in Google Tasks: Create tasks from each Trello board in separate Google Tasks lists. (Read this article for more details about how Pleexy creates multiple projects in the destination).
Note: If a project with the same name already exists in the root list you select, Pleexy will use it instead of creating a new list. This way, Pleexy can combine tasks from different source services in the same project. For example, Pleexy will create tasks from a “Development” notebook in Evernote and a “Development” board in Trello in a single list in Google Tasks.
5. Sync options
Sync options let you control what Pleexy will do when you change, complete, or delete cards or tasks in Trello or Google Tasks—both sides of the integration!
First, choose what should happen in Google Tasks when you complete or delete a card in Trello.
Complete task: Enable the option if you want Pleexy to complete the task in Google Tasks when it's completed in Trello.
Delete task: Enable the option if you want Pleexy to delete the task in Google Tasks if it's deleted in Trello.
Note: If you selected Do not track card completeness in your Source settings, you will not have this option.
You have the same options for checklist items.
Next, choose what should happen in Trello when you complete a task in Google Tasks.
Complete card: Pleexy will move the card to the specified "complete" list in Trello when the task is completed in Google Tasks.
Complete checklist item: Pleexy will complete the checklist item in Trello when it's completed in Google Tasks.
Those are your options for integrating Google Tasks with Trello! Don’t forget to click Save when you’re finished customizing.
